Talent Acquisition Assistant



To provide administrative support to the Talent Acquisition Team.

Assist in scheduling, coordinating, calendaring, and confirming phone
screens, in-person and virtual interviews
Post approved open positions (globally) on, SPEnet, LinkedIn,
CareerBuilder, Monster, Dice, and other job boards, as needed.
Maintains and organizes updated job descriptions for all positions at SPE
Prepare contingency offer letters
Creating and organizing electronic files: approved requisitions, resumes,
applications forms, applicant flow logs, job descriptions, and other
applicable electronic files.
Maintains other records, reports, and logs pertaining to applicant flow
Coordinates, administers, and monitors post offer drug screening tests and
background checks
Administer and monitors pre-employment assessments, etc.
Coordinates, schedules, and confirms new employee notifications and
orientations (internally and externally).
Process, verify, and maintain documentation relating to personnel
activities such as staffing and recruitment
Maintains referral tracking spreadsheets, KPIs, and maintains a database of
referral sources and qualified candidates
Conducts audits of various talent acquisition related programs
Supports in coordinating the use of temporary employees and use of external
Helps to maintain company organization charts and employee directory
Helps support branding, sourcing, and social media administrative duties as
Creates and maintains files for agreements, contracts, and other paperwork,
as needed.
Updates and maintains weekly recruiting spreadsheets, and other data
spreadsheets, as needed.
Updates Talent Acquisition Policies and Procedure documents, as needed.
Assists with tracking Recruiting/Talent Acquisition expenses
Coordinates travel for candidate interviews, as needed.
Assist with planning and staging of various recruiting job fairs or events
Other duties may be assigned, as needed.


Ability to maintain the highly confidential nature of talent acquisition
and personnel work
Excellent communications skills and the ability to communicate tactfully
with people at all levels.
Ability to convey a positive professional image to applicants and staff.
Problem solving - the individual identifies and resolves problems in a
timely manner
Detail oriented- the individual edits work for errors, presents numerical
data effectively
Quality control - the individual demonstrates accuracy and thoroughness

Knowledge and familiarity with FLSA and employment laws.
Excellent writing skills
Strong working knowledge of MS Office (Outlook, Word, Excel, etc.),
PowerPoint, and Adobe products

Associate's degree and two years related work experience or an equivalent
combination of education and experience.
