Operations Assistant
National Math and Science Initiative - Dallas
Provide administrative and clerical support to ensure the efficient
operation of the department.
Essential Functions
The Operations Assistant will:
Utilize Microsoft Office, will enter information into a computer database
to initiate, update, transfer and delete fixed records, to generate
records, to track Operational activities
Coordinate, prepare, execute, schedule and maintain activities, paperwork
and transactions for all assigned projects
Route email and take messages on the Operations shared email and phone
system
Complete daily reports and provide regular status updates
Ensure that all customers (internal and external- teachers, consultants and
staff) are being supported
Adhere to the company's procedures and policies, including security
protocol for confidential customer information
Complete other duties as assigned by the Director of Operations
Must be able to lift up to 50 pounds
Position Qualifications
High school or equivalent experience plus four years
clerical/administrative experience that includes data entry and basic
accounting; equivalent experience considered
Associate degree or higher in business, accounting or other relevant field,
preferred
Highly proficient in Microsoft Office
Strong verbal and written communication skills

SKILLS & ABILITIES
The Operations Assistant should have:
Demonstrated customer service experience
Demonstrated ability to multi-task and prioritize work assignments
The ability to work independently and self-direct activities
Extreme attention to detail, accuracy, and problem solving skills
Possess knowledge and understanding of the use of systems applicable to job
responsibilities, including scanning, preparing letters and proprietary
software programs
Excellent communication skills, both orally and in writing (e-mail) with
coworkers and customers - teachers, consultants and staff
Education: Accredited high school diploma, Associate's or Bachelor's degree
preferred
Experience: Four years clerical/administrative experience that includes
data entry and basic accounting; equivalent experience considered
At least 5 years experience managing a team of highly effective
professionals
Computer Skills: documented expertise in Microsoft Office including Word,
Excel, Outlook, Access
Disclosures: Valid driver's license required.
